How to Determine Your Freelance Hourly Rate

Setting your freelance rate is one of the most difficult parts of running a service-based business. If you charge too little, you struggle to pay your bills and burn out. If you charge based on your previous salary, you forget that as a freelancer, you are responsible for your own taxes, insurance, software, and non-billable time.

The Formula Behind the Calculation

This calculator uses a "Reverse Income" method. Instead of guessing what the market will pay, we look at what your life and business actually cost. The logic follows these steps:

  • Total Expenses: We multiply your monthly business costs (subscriptions, hardware, office space) by 12.
  • Tax Adjustment: We gross up your desired take-home pay to account for self-employment taxes and income tax.
  • Profit Buffer: We add a percentage for business growth, savings, or unexpected costs.
  • Capacity: We divide the total required gross revenue by your actual billable hours (total weeks minus holidays/sick days, multiplied by hours spent on client work).

Real-World Example

Imagine you want to take home $70,000 per year. You have $400 in monthly expenses ($4,800/year). You estimate your tax burden at 25% and want a 10% profit buffer. You plan to work 48 weeks a year (4 weeks vacation) and can realistically bill 25 hours per week (the rest is admin/marketing).

Your required gross revenue would be roughly $104,222. Divided by 1,200 billable hours (48 weeks * 25 hours), your minimum hourly rate should be $86.85.

Billable vs. Non-Billable Time
